The Role

The Office and Warehouse Administrator plays a vital role in ensuring the smooth running of our warehouse, office, and facilities.

 

This dynamic role will suit someone who enjoys variety, from managing shipments and inventory to assisting with office coordination, facilities upkeep, and event logistics. You’ll work closely with the Logistics, Customer Service, and Corporate teams to keep operations organised and efficient.

Responsibilities

Warehouse Operations – Shipment Processing & Maintenance

Outgoing Shipments

  • Sort gowns and accessories for quality control and store allocation.
  • Prepare and process outgoing shipments according to pick slips, ensuring item accuracy and correct documentation.
  • Create shipping labels and book carrier pickups with approved vendors.

 

Incoming Shipments

  • Receive, unpack, and verify deliveries against packing lists; report any discrepancies to Logistics.
  • Record and communicate deliveries received into the warehouse.
  • Maintain the warehouse and shipment processing areas to standard; organise supplies and manage replenishment orders.
  • Maintain freight systems and shipping address databases.
  • Ensure packaging materials are disposed of safely and coordinate recycling collections.

 

Freight Systems & Inventory Management

  • Accurately send and receive shipments using approved systems; maintain records and documentation.
  • Distribute incoming goods to relevant departments.
  • Conduct quarterly and annual stock takes for all labels, investigate discrepancies, and report to Logistics.
  • Maintain accurate inventory records and ensure stock is well organised and accessible.
  • Action seasonal stock adjustments and item removals as required.

 

Facilities, Office Administration & Events

Facilities Support

  • Conduct daily checks to ensure office, café, restrooms, meeting rooms, and car parks are clean and well-presented.
  • Coordinate maintenance, cleaning, and repairs with building management and vendors.
  • Manage consumables, coffee/kitchen supplies, and general office inventory.
  • Maintain company-owned vehicle (e.g.  arranging  servicing, insurance, registration etc.).
  • Monitor the office inbox, respond to issues, and distribute communications as needed.

Office Administration & Reception

  • Meet and greet external visitors, and manage incoming post and deliveries not directed to the warehouse and ensure appropriate internal distribution.
  • Order office supplies, manage vendor relationships, and maintain contact lists.
  • Provide administration support for budget tracking (events), credit card reconciliation, and petty cash management.
  • Maintain safety awareness and ensure warehouse and office areas reflect company standards.

Event Coordination

  • Support the VP with planning and executing internal and external events.
  • Research venues, vendors, and partnership opportunities, presenting recommendations as needed.
  • Coordinate internal staff events such as team celebrations, lunches, and seasonal functions.

 

Additional duties

  • Ability to adapt to evolving priorities and perform additional tasks to contribute to team success.

Qualifications

What We Are Looking For: 

  • Certificate or Diploma in Business Administration, Logistics, Supply Chain, or a related field or equivalent on-the-job experience.

 

Skills and Experience

  • Experience in office administration, facilities coordination and warehouse operations preferred.
  • Strong organisational, time management, and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • High attention to detail with accuracy in documentation and recordkeeping.
  • Competent in Microsoft Office.
  • Physically capable, with the ability to lift and move items weighing up to 15kg and remain standing for extended periods.
  • A proactive and adaptable team player with a positive, professional attitude.
